Exam Pass Notes

Use these notes to review before the assessment. They summarise the course’s main points but do not replace your home's information-governance policy, record-keeping procedure, safeguarding procedure or breach-escalation route.
Core Privacy Points
- Confidentiality means keeping private information secure and not sharing it casually.
- Data protection covers the safe collection, storage, use and deletion of personal information.
- In children's homes, sensitive information includes health details, safeguarding records, placement and family information, and incident reports.
- Apply need-to-know access: only give people the information required to do their role.
- Use data minimisation: share only what is necessary for the purpose, not everything held.
Everyday Practice
- Discuss sensitive matters privately and record them accurately and respectfully.
- Use approved systems for messages, photos and records; do not use personal devices or shortcuts.
- If you are unsure what can be shared with relatives, do not guess—check the home's policy or ask a manager.
- Where there are safeguarding concerns, share necessary information through the appropriate route and with relevant staff or agencies.
Breach Response
- A data breach can occur digitally, verbally or on paper.
- Contain and report errors promptly; escalate them through your home's breach process rather than hiding them.
For the exam, remember the simple privacy shape: need to know, respectful records, approved systems, careful sharing and early breach escalation.
