Delegation, instructions and pressure from clinicians

GP reception desk with staff assisting patient

Clinicians commonly ask reception or administrative staff to send messages, book reviews, chase results, contact patients or add notes to records.

Any delegated task needs clear instructions. If an instruction is vague, conflicts with practice protocol or asks you to act beyond your role, clarify it before you proceed.

Delegation needs

  • What exactly needs doing?
  • Who requested it?
  • When does it need to be completed?
  • What should you tell the patient, and what should you not say?
  • What must be recorded in the notes?
  • Who is responsible if the patient asks a clinical question?

Clarify a delegated task before doing anything that could affect safety, confidentiality or patient understanding.

Scenario

A clinician says quickly, "Ring the patient and tell them their result is okay." The record contains several recent results and you are unsure which one they mean.

What should you do before contacting the patient?
