Caldicott Basics
- The Caldicott Principles guide the proper use of confidential patient information.
- Only use patient information for a clearly justified purpose and when it is necessary.
- Limit information to the minimum needed to complete the task.
- Restrict access to those who need the information to carry out their work.
Reception Practice
- Seeing records on the system does not authorise casual browsing.
- Verify identity and authority before disclosing any information.
- Record enough detail for safe care while avoiding unnecessary exposure of sensitive information.
- Use approved channels for SMS, email, voicemail and online messages.
Sharing and Transparency
- Sharing information for individual care is sometimes necessary and appropriate.
- Check requests from third parties or external organisations carefully before sharing.
- Explain to patients why information is requested and what will happen next.
- Hold sensitive conversations in private whenever possible.
Escalation and Incidents
- Ask a supervisor for help when access, disclosure or messaging is unclear.
- Report wrong messages, misdirected documents and suspected unauthorised access.
- Do not decide on your own whether an incident is serious; escalate for assessment.
- Record and review near misses so practice and safety can improve.
