Caldicott Basics

  • The Caldicott Principles guide the proper use of confidential patient information.
  • Only use patient information for a clearly justified purpose and when it is necessary.
  • Limit information to the minimum needed to complete the task.
  • Restrict access to those who need the information to carry out their work.

Reception Practice

  • Seeing records on the system does not authorise casual browsing.
  • Verify identity and authority before disclosing any information.
  • Record enough detail for safe care while avoiding unnecessary exposure of sensitive information.
  • Use approved channels for SMS, email, voicemail and online messages.

Sharing and Transparency

  • Sharing information for individual care is sometimes necessary and appropriate.
  • Check requests from third parties or external organisations carefully before sharing.
  • Explain to patients why information is requested and what will happen next.
  • Hold sensitive conversations in private whenever possible.

Escalation and Incidents

  • Ask a supervisor for help when access, disclosure or messaging is unclear.
  • Report wrong messages, misdirected documents and suspected unauthorised access.
  • Do not decide on your own whether an incident is serious; escalate for assessment.
  • Record and review near misses so practice and safety can improve.
